8.1.2. The Facilitator Agent

💡 First Principle: Every well-run meeting has someone keeping notes, watching the clock and capturing who does what, and that person usually can't contribute fully to the discussion. Facilitator is a Microsoft agent that takes that role in Teams meetings, so the humans can focus on the conversation.

What Facilitator does:
  • Real-time AI notes that everyone can co-author
  • Agenda detection from the meeting invite or Loop notes, posted to the meeting chat. If there's no agenda, it prompts for meeting goals
  • Agenda timers and countdown timers with alerts when an item overruns
  • Task capture with Planner sync (Accept to sync)
  • Answers questions in the meeting chat, including with web search
  • Drafts a Word document from the discussion
  • @mentions absent people who are mentioned repeatedly
Turning it on:
  • Before the meeting: meeting Options > Copilot and other AI > Allow Copilot and Facilitator > turn on the Facilitator toggle
  • During the meeting: More actions > Turn on Facilitator (organizers and presenters, in desktop or web)
Rules that the exam likes:
RuleDetail
LicenseA Microsoft Copilot (formerly Microsoft 365 Copilot) license is required to add Facilitator or turn it on. Internal participants can view its real-time updates regardless of license
Meeting typeScheduled meetings only: not channel meetings, instant (Meet now) meetings or Teams calls
NotesStored in a Microsoft Loop page that any participant can edit before, during or after the meeting. Find them in the meeting chat > Recap > Notes tab
TranscriptionTurn on transcription if you want to ask Copilot questions after the meeting
LimitsAgenda extraction is blocked when only the organizer has joined, or when the content is encrypted with a sensitivity label. External participants can't turn Facilitator on or off

⚠️ Exam Trap: Facilitator works only in scheduled meetings. A scenario about an ad-hoc "Meet now" call, a channel meeting or a 1:1 Teams call can't use Facilitator, however well it otherwise fits. Also, only the person turning it on needs the license. Unlicensed internal attendees still see the notes.

Reflection Question: A team lead starts an instant "Meet now" meeting for a quick decision and wants Facilitator to track the agenda and capture tasks. Why won't that work, and how should she set up next week's version of the meeting so it does?
