4.3. Saving, Scheduling, and Sharing Prompts
💡 First Principle: Saving, scheduling and sharing are three distinct prompt management actions with distinct purposes. Saving keeps a prompt for you to run, scheduling makes Copilot run it, and sharing gives it to your team. Conflating them is one of the most common errors on AB-730, and the exam exploits the confusion deliberately.
Many professionals write the same kinds of prompts again and again: weekly status updates, recurring competitor research, standard meeting prep. Copilot's prompt management features let you capture, automate and share those prompts so you don't reinvent them each time.
The three prompt management actions, clearly distinguished:
| Action | What It Does | When to Use It |
|---|---|---|
| Save | Stores a prompt for manual reuse on demand | You want to use a prompt again later, on your own schedule |
| Schedule | Copilot runs the prompt automatically at the times you set | You want results without starting the prompt yourself each time |
| Share | Makes a prompt available to your team | You want colleagues to use the same prompt for consistency |
Save a prompt:
- After a prompt runs, hover over it and select the bookmark icon (Save prompt)
- It appears under Your saved prompts, which only you can see
- You run a saved prompt manually, because saving doesn't automate anything
Schedule a prompt:
- Requires a Microsoft Copilot (formerly Microsoft 365 Copilot) license
- Works in Copilot Chat, Copilot in Teams and Copilot in Outlook (web and desktop)
- Hover over a prompt > Schedule this prompt > set when it runs, how many times, and whether you get an email notification > Save
- You can have up to 10 scheduled prompts in Copilot Chat
- Manage them in … Settings and more > Scheduled prompts, where you can Run now, Edit schedule, Turn off or Delete
- Results appear in your Chats list, shown in bold with an icon so you can spot them
Share a prompt:
- Open Prompt Gallery > Your prompts > Share prompt > Share to team
- Prompt Gallery has three tabs: Suggested (curated by Microsoft), Your prompts and Teams (prompts shared with your teams)
- Sharing is how a team lead standardizes a good prompt across a team
⚠️ Exam Trap: Saving a prompt doesn't schedule it. If you save a prompt for a Monday morning report, Copilot won't run it on Monday morning: you have to open it and run it yourself. To have Copilot run it automatically, schedule it, which needs a license. Also don't confuse the two schedulers: Copilot Chat allows 10 scheduled prompts managed in Settings, while Cowork allows 25 scheduled prompts managed on its own Automations page (6.4.4).
Reflection Question: A project manager writes a prompt that generates a weekly project status update. She saves the prompt. On Monday morning, she finds Copilot hasn't generated the update. What did she fail to do, what does that feature require, and where would she manage it afterwards?
