8.1.1. Preparing for a Meeting

💡 First Principle: Good meeting prep is gathering what already exists: the last meeting's outcomes, the related emails and documents, the open tasks. Copilot can do the gathering because that material is already in your Microsoft 365 data. What it can't do is decide what you want out of the meeting, so prep is a gather-then-decide job.

Ways to prepare with Copilot:
ApproachWhat you getBest for
Copilot in Outlook: the meeting event shows Prepare for this meeting insightsRelated emails and documents, tasks, and the previous meeting's recapQuick prep from your calendar
Copilot Chat prompt referencing the meeting with / (4.2)A tailored briefing: "Summarize what I need to know for /Quarterly vendor review, including open issues from related email"A briefing shaped by your own goal
Cowork with the Prep for a meeting starterA multi-step prep task using the Meetings skill to gather meeting intelligence, and optionally drafting a pre-read or agenda email for your approvalPrep that also needs actions, such as sending a pre-read

How Outlook's prep insights behave: full insights apply only to 1:1s and meetings with related content, and each person sees their own permission-trimmed summary. Two attendees can get different prep summaries for the same meeting, because each sees only what they can access.

Prep that pays off during the meeting: put a clear agenda in the meeting invite. Facilitator detects the agenda from the invite (8.1.2), so a good invite helps both the people and the agent.

⚠️ Exam Trap: "Both attendees should get identical prep summaries" is wrong. Prep insights are permission-trimmed per person, so a summary can't include a document an attendee can't open, even if a colleague's summary does. And Cowork is the right choice only when prep involves doing something, like sending a pre-read. For a briefing you'll just read, Outlook or chat is faster.

Reflection Question: A manager has a 1:1 with a direct report tomorrow and also wants to send the report a short pre-read listing three topics. Which Copilot option fits the prep, which fits the pre-read, and why?
