3.1.2. Copilot Versions and the Microsoft Graph Difference

đź’ˇ First Principle: The critical difference between Microsoft Copilot (free) and Microsoft 365 Copilot (licensed) is organizational data access through Microsoft Graph. Without Graph access, you have a general AI assistant. With Graph access, you have an AI assistant that knows your organization. This distinction appears repeatedly on the exam.

Understanding the versions helps you recommend appropriately:

The Microsoft Graph difference explained:

Microsoft Graph is an API that provides unified access to Microsoft 365 data—emails, calendar, files, chats, people, and more. When Microsoft 365 Copilot needs to answer a question about "your team's recent project updates," it queries Graph to find relevant emails, documents, chat messages, and meeting transcripts.

Why this matters: An employee using free Copilot who asks "summarize last week's project meeting" gets a response like "I don't have access to your meetings." The same employee using Microsoft 365 Copilot gets an actual summary of the meeting, with key decisions, action items, and participants—because Copilot accessed the meeting transcript through Graph.

⚠️ Exam Trap: This is one of the most frequently tested distinctions. If a question asks about AI that can access organizational data, answer with Microsoft 365 Copilot. If organizational data isn't needed, free Copilot may be sufficient.

Reflection Question: An employee uses the free Microsoft Copilot and complains it doesn't know anything about their company. What's the explanation, and what's the solution?
