2.3.2. Grounding Solutions and RAG
đź’ˇ First Principle: Grounding connects AI to authoritative data sources so it can provide accurate, contextual responses. RAG (Retrieval-Augmented Generation) is the mechanism: retrieve relevant information first, then generate a response informed by that information. This is how Microsoft 365 Copilot knows about YOUR meetings, YOUR documents, YOUR colleagues.
Without grounding, AI can only use its training knowledge—which is general, may be outdated, and knows nothing about your organization. Grounding solves this by giving AI access to current, specific, authoritative information.
How RAG works:
- Retrieve: Search relevant documents, emails, or data
- Augment: Include retrieved information in the AI prompt
- Generate: Produce a response informed by the retrieved data
Microsoft 365 Copilot grounding: The key differentiator of M365 Copilot is automatic grounding through Microsoft Graph. When you ask Copilot about "last week's project meeting," it knows which meeting you mean because it accesses your calendar, meeting transcripts, and related documents.
Data quality impact: Grounding is only as good as the underlying data. If your documents are outdated, poorly organized, or contain errors, grounded responses will reflect those issues. AI transformation often requires data quality improvements alongside AI deployment.
⚠️ Exam Trap: Questions may ask about improving AI accuracy for organization-specific questions. The answer is usually grounding/RAG, not fine-tuning. Fine-tuning changes how the model behaves; grounding gives it access to your information.
Reflection Question: A company's Copilot gives incorrect information about their vacation policy. The AI isn't "wrong"—it just doesn't have access to the correct policy document. What's the fix?
