5.1. Create and Manage Workspaces and Assets

💡 First Principle: The service separates where content is built from how content is consumed. Workspaces are collaborative containers for creators; apps, dashboards, subscriptions, and sharing are channels for consumers; gateways and refresh schedules keep the content current. Choosing the right container and channel for each audience is the core management skill.

Why care? Most organizational Power BI problems are distribution problems: reports shared one person at a time and impossible to audit, viewers given edit rights because it was easier, refreshes failing silently because nobody configured a gateway or notification. The exam tests these as scenario choices with clear correct answers once you know what each feature is for.

The mental model is a publishing house. The workspace is the editorial office where authors and editors work on drafts. The app is the published edition delivered to readers. Subscriptions and alerts are the delivery service. Endorsement is the seal of quality on the cover. The gateway is the loading dock that brings supplies in from warehouses outside the cloud.

⚠️ Common Misconception: A gateway is required for every scheduled refresh. Gateways are needed only when the service can't reach the source directly: on-premises databases, files on local or network drives, or sources in private networks. Cloud sources such as Azure SQL Database, SharePoint Online, and many SaaS services refresh without one.
