4.1.6. Choosing When to Use a Paginated Report

💡 First Principle: Some documents exist to be explored; others exist to be printed, filed, or sent. Interactive Power BI reports optimize for exploration on a screen. Paginated reports optimize for exact layout across as many pages as the data requires, so every row appears and every page prints identically.

Paginated reports are authored in Power BI Report Builder (a free desktop tool) as .rdl files and published to a Power BI workspace. They render all rows of a table across multiple pages, with repeating headers and footers, page numbers, precise control over fonts and positions, and export to PDF, Word, Excel, PowerPoint, CSV, and other formats with fidelity. They support parameters (users pick a customer or date range before rendering) and can use Power BI semantic models, SQL databases, and other sources.

Interactive reports can also embed a paginated report with the paginated report visual, passing filters from slicers to the paginated report's parameters, which combines exploration with a printable detail list.

⚠️ Exam Trap: Stems mentioning invoices, purchase orders, operational lists that must print completely, or "pixel-perfect" formatting point to paginated reports authored in Report Builder. Adjusting a Power BI table visual's size or exporting a page to PDF doesn't satisfy "all rows on printed pages."

Reflection Question: A logistics team needs a 40-page daily manifest of every shipment, printed with page numbers and a header on each page, plus an interactive dashboard of shipment trends. Which formats meet each need, and how could one report link to the other?
