8.1. Using Copilot in Microsoft Teams Meetings

💡 First Principle: Copilot in Teams meetings does not just record what was said — it understands what was said. That distinction unlocks a category of capabilities impossible with traditional transcription: answering questions about meeting content in real time, identifying action items from discussion, and synthesizing decisions from hours of conversation.

Copilot's meeting capabilities operate in two modes: during the meeting (live) and after the meeting (recap).

During a meeting — live capabilities:
CapabilityWhat You Can AskExample
Catch up on what was discussed"What has been discussed so far?"Joining late and needing context fast
Summarize debate or disagreement"What are the different perspectives on the budget proposal?"Facilitating a discussion
Track decisions"What decisions have been made so far?"Ensuring commitments are captured
Generate questions"What questions haven't been asked yet?"Moderating or facilitating

These queries are answered in real time, based on the live meeting transcript. Copilot is essentially reading the conversation as it happens and responding to your questions about it.

Requirements for live meeting Copilot:
  • Transcription must be enabled for the meeting
  • You must have a Microsoft 365 Copilot license
  • The meeting must be a Teams meeting (not just a Teams call)
After a meeting — recap capabilities:

Once a meeting ends, Copilot generates a meeting recap — an AI-synthesized summary of the meeting that typically includes:

  • Summary of topics discussed
  • Key decisions made
  • Action items with assigned owners (where identifiable from the discussion)
  • Follow-up questions or open items

The recap appears in the Teams meeting chat and the calendar event, making it accessible to attendees and (where shared) to those who could not attend.

⚠️ Exam Trap: Meeting recap is not the same as meeting transcription. Transcription is a verbatim record of who said what. Meeting recap is an AI-generated synthesis — it interprets the conversation to identify what was decided and what needs to happen next. The exam tests this distinction because they serve different purposes: transcription for the complete record, recap for actionable summary.

Reflection Question: A team member missed a two-hour product strategy meeting. She has two options: read the full meeting transcript or review the meeting recap. For each option, describe what she would gain and what she might miss.
