10. Glossary

Agent — A customized Copilot experience configured with specific instructions, knowledge sources, and capabilities for a defined purpose. Distinct from general Copilot Chat.

Agent Store — A catalog of pre-built Copilot agents from Microsoft and third-party developers, accessible within Microsoft 365 Copilot. Not exclusively for IT administrators.

Citation check — A verification method in which you confirm that specific claims in AI-generated content trace back to a real, accessible source.

Copilot Chat — The general-purpose conversational AI experience within Microsoft 365 Copilot. Uses broad knowledge plus whatever context you provide in the prompt.

Copilot memory — A user-configured feature that allows Copilot to retain specific context items across conversation sessions. Does not automatically remember all past conversations.

Copilot Pages — A collaborative, AI-integrated canvas within Microsoft 365 Copilot that allows teams to work together on AI-generated content. Distinct from SharePoint pages.

Copilot Studio — Microsoft's tool for building and configuring custom Copilot agents. Accessible to non-technical users through a guided interface.

DLP (Data Loss Prevention) — Microsoft Purview policies that detect and restrict the movement or exposure of sensitive information. Can filter both Copilot inputs (what it accesses) and outputs (what it generates).

Fabrication (Hallucination) — AI-generated content that is fluent and confident but factually incorrect. A structural characteristic of language models, not a rare exception.

GCSF — Goal, Context, Source, Format — the four components of an effective Microsoft 365 Copilot prompt.

Grounding — The practice of anchoring AI responses to specific, verifiable sources (documents, files, web data) provided at inference time. Reduces fabrication risk for topics covered in the source.

Large Language Model (LLM) — An AI model trained on large amounts of text to predict and generate language. The underlying technology powering Microsoft 365 Copilot.

Meeting recap — An AI-generated synthesis of a Teams meeting, including a summary of discussion, key decisions, and action items. Distinct from a verbatim transcript.

Microsoft Graph — Microsoft's unified API and data layer that connects Microsoft 365 services, enabling Copilot to access emails, calendar, files, and Teams data within permission boundaries.

Microsoft Purview — Microsoft's compliance and data governance platform, including sensitivity labels and DLP policies that integrate with Copilot.

Over-reliance — An AI risk in which a user trusts AI-generated outputs without applying appropriate human review, particularly for high-stakes or externally-facing content.

Permission inheritance — Copilot's behavior of respecting the user's existing Microsoft 365 permissions. Copilot cannot surface content the user cannot already access.

Prompt Gallery — The interface within Microsoft 365 Copilot for accessing saved, scheduled, and shared prompts, as well as Microsoft-curated prompts.

Prompt injection — An AI risk in which malicious instructions embedded in content (documents, emails, web pages) that Copilot reads can manipulate its behavior or output.

Save (prompt) — Storing a prompt in Prompt Gallery for manual reuse on demand. Does not automate prompt execution.

Schedule (prompt) — Configuring Copilot to automatically run a prompt at a specified time or on a recurring interval. Distinct from saving a prompt.

Semantic index — The Microsoft 365 intelligence layer that understands the meaning of content across your M365 environment, enabling contextually relevant Copilot responses from your organizational data.

Sensitivity label — A Microsoft Purview classification applied to documents and emails that governs how content can be shared, accessed, and referenced — including by Copilot.

Share (prompt) — Making a prompt available to other team members through Prompt Gallery. Enables consistent AI workflows across a team.

Tenant boundary — The logical boundary of an organization's Microsoft 365 environment. Microsoft 365 Copilot processes data within this boundary — organizational data does not leave it during Copilot processing.

Transcript (meeting) — A verbatim, real-time text record of what was said in a Teams meeting. Distinct from the AI-generated meeting recap.
